Every day you are shut, of either kind. One date for a single day, two for a stretch — and on each row, what it actually means:
No dogs here at all catches any stay that would overlap it, including one that would run straight through. That is a vacation.
No drop-offs or pick-ups shuts the front door and leaves the dogs inside alone — only an arrival or a departure landing on the day is caught. That is a holiday you still feed on.
You can book over either if you have arranged cover; clients are simply told those dates are unavailable.

For a kennel that also goes out: twenty minutes to let a dog out and feed it, or an hour at a farm while the owners are away. Off, nothing about it appears anywhere. On, it gets its own part of Reservations, today’s ones show on your first screen of the morning, and what they earn counts in Finance like everything else.
Added to each visit on top of its own charge. This is what the family pays; what a mile is worth against your tax is the rate in the mileage card, and the two are rarely the same number.
🏅 Report cards how they look, what they say▾
A report card is a school report from the farm: your kennel across the top, the dog’s photo, their subjects and grades, and a note home. Nine looks come with the app — an everyday one and eight holidays, offered to you when a stay lands on one. Everything below is yours.
What your cards say
Leave the town blank and it is taken from your business address. Leave any of the rest blank and the card simply goes without it. The note home is edited on the card itself.
Your logo on the card
A black-and-white drawing looks best turned light. A colour logo would be ruined by that, so it gets a circle to sit in.
The words on every card
The card came with a school report’s wording. Change any of it to yours — the greyed-out words are what it says if you leave a box empty. What one card says about one dog is edited on the card itself.
What an ordinary stay is marked on
The rows on an everyday card. A note can use {meals}, {yard}, {doses}, {friends}, {nights} and {dog}, written out in words on the card — and a row that asks for a count that turned out to be nought is left off that card rather than made up. The eight holiday cards keep their own rows, and any card can be reworded while you are making it.
A look of your own
The nine are made of five colours. Set your own and they appear in the picker beside them. A card you have already sent keeps the look it was sent with, whatever you change here.
Made one in Canva? Export it as PNG or JPG, wide rather than tall, and keep it calm — it runs across the strips at the top and bottom, behind your logo and your motto, and is trimmed to fit. The paper in the middle stays plain on purpose: the subjects, the grades and the note home have to stay readable.
Left on Everyday, a stay that covers a holiday opens on that holiday’s card instead.
🧾 Tax lines which line each cost belongs on▾
Your categories are the way you think about money. A tax return groups them its own way, and somebody does the translating every January. Pair them once here and Finance prints the year both ways.
These are suggestions, not rulings. Which line a cost belongs on is your accountant’s call — change any of them, and anything you leave unassigned is shown as unassigned rather than swept into Other.

Leave it empty for the usual amount — $600 for payments up to 2025, $2,000 from 2026. Put a figure here only if your accountant works to a different one.
✉️ A word needed who to chase, and what it says▾
The app finds the families worth a word and writes it. Nothing is ever sent for you — it opens in your own mail or messages with the address and the wording filled in, and you press send. Only families with a dog here or booked in the next two months are ever on the list.
Anything already out of date is on the list whatever this says.
Leave it empty and it says what is greyed out above. {{business_name}} is filled in. The vaccination one names the dog, the vaccination and the date itself, so it is written for you each time.

Each of these is on unless you turn it off. Nothing here changes what you or your staff see — only the app your families open.
⏰ The kennel day times on every run card▾
The day every dog runs to unless it has been given one of its own. These times appear on the run card and in the staff app, and they are what staff tick off as the day goes — so this list and the day’s care are the same list, not two. A dog that needs something different gets its own times on its record. Until you save a day here, staff and families see your Per-dog care tasks instead.

Deleting something here keeps a copy for a while first, so a wrong click is a nuisance rather than a loss. Restoring puts the record back exactly as it was. Keep for
Erase a family for good
Deleting a family hides them and keeps a copy, which is what you want for a wrong click. This is the other thing — for when someone asks you to remove them and you have to be able to say you did. It goes through every record on file, removes them, and then reads it back to check. If anything is left it says what, and keeps the family hidden rather than telling you they are gone.

Who changed what, and when. Search a dog, a family or a person.
Things that went wrong 0
Faults the app noticed by itself, newest first. An unfamiliar one also emails you once. Nothing here is about a client - just what broke and where.
Paid more than the stay came to 0
Usually the same payment entered twice, once at check-out and once from Reservations. The balance reads zero either way, so it shows up nowhere else.
Charged less than the plan rate 0
Stays whose total is below the nights times the nightly rate, plus extras. Usually a stay that was extended after it was booked, back when changing the dates left the price alone. Nothing is altered here — open one and save it to reprice.
One booking charged on two dogs 0
Two dogs booked together share one booking, and one of them carries the price. These have money on both rows, which bills the family twice and reads as two stays. Until 20 September, saving the second dog’s screen could do this on its own.
Care records for a family not on file 0
Feeding, yard time and medication ticks filed against a family who is no longer on file — usually a stay that moved. The work was done; the room card just cannot see it, so it looks undone and gets repeated.
Bookings for a family not on file 0
The stay names a family who is not among your clients, so there is nobody to ring, no waiver, no vaccination record, and a photo saved for that dog cannot be found. Usually the same household under a second name. Open the stay and correct the family, or add them as a client.
Dogs without a matching client 0
These dogs' family names don't match any client on file — usually a leftover from the original import. Click Edit to correct or delete.
Clients with no dogs on file 0
May simply be a new client. This is informational unless you expected a dog to be attached.
Two records for one dog 0
The same dog on file twice under one family — usually what a merge leaves behind. Nothing can tell the two apart by name, so deleting one would take both. Combine them into a single record; anything filled in on either one is kept.
Possible duplicate families 0
Names close enough they might be the same family typed two different ways — like "&" vs "and". Merge combines both into one, moving all their dogs together.

Emergency Plan

Keep this current — the moment you need it is not the moment to be editing it. To edit this text, go to System Settings and open the matching section.
Who is here now prints a separate one-page list for somebody who has never been in the building — the fire service, the police, a neighbour. How many dogs, which room each is in, which ones need careful handling, and the owner and vet to ring. It is dated at the top, because it stops being true the moment a dog goes home: laminate the plan above, reprint this one.
The board you can post
One code, printed large and posted where your people work. Scanning it opens the plan above and every dog on the property — their medication, allergies, feeding, handling notes and vet — with no password to remember on the day nobody would remember one.

Treat the poster like a key. It is as private as the room it hangs in, and anyone who photographs it keeps it. If that happens, make a new code here and the old poster stops working.

App access passwords
Anyone opening this app will need one of these — except the public waiver link, which always stays open. Give each person their own so you know who's who, or leave the list empty to turn this off entirely.
A code on its own is closer to a name badge than a password — it gets read aloud, written on things and remembered by people who have left. Set a PIN and that person needs both. Anyone without a PIN cannot sign in at all — the staff door asks for a name and a PIN and accepts nothing less — so set one for everybody before their next shift.
Recovery key
The way back in if every password above is forgotten. It is the strongest thing on this page — it replaces every password at once — so it is worth knowing who has it.
